Head of Administration
About The Position
We are looking for a highly organized, hands-on Head of Administration to own the day-to-day running of our office and workplace operations, reporting to the CFO. This is a central, cross-functional role responsible for keeping the office running smoothly, safely, and efficiently — from facilities and vendors to budget, procurement, travel, and everything in between.
The ideal candidate is a proactive problem-solver who is comfortable both managing at a strategic level and rolling up their sleeves to get things done. They take full ownership, partner effectively with HR, IT, Finance, Compliance and leadership, and treat the office as a service that makes everyone else's work easier.
Responsibilities
Office & Workplace Management
- Own the end-to-end day-to-day operation of the office, ensuring it is clean, safe, functional, well-stocked, and a pleasant place to work.
- Manage office services and infrastructure: reception, cleaning, maintenance, kitchen and amenities, meeting rooms, and building systems.
- Oversee space and occupancy planning as the team grows, including seating, moves, and office maintenance and improvement projects.
- Act as the primary point of contact for anything office-related — the person everyone turns to when something needs to happen or be fixed.
Budget Management
- Own and manage the administration/operations budget end-to-end: annual planning, expense approval and tracking, and variance monitoring against forecast.
- Provide clear, regular reporting to Finance and management with no surprises.
- Continuously identify cost-improvement opportunities through smart procurement — without compromising service or employee experience.
Vendor & Procurement Management
- Manage the full vendor lifecycle: sourcing, tenders, negotiation, contracts, and ongoing supplier performance against SLAs.
- Maintain strong, fair relationships with suppliers while holding them to agreed standards; keep backup options for critical services.
- Manage service providers across cleaning, maintenance, security, catering, office supplies, and more.
Travel Management
- Own the company's business travel operations: booking flights, accommodation and transportation, and managing travel vendors and policies.
- Ensure travel runs smoothly, cost-effectively, and in line with company policy; support employees with travel needs and issues.
- Track and reconcile travel expenses in coordination with Finance.
Cross-Functional Partnership (HR, IT, Finance & Compliance)
- Partner closely with HR on employee experience, onboarding/offboarding logistics, events, and workplace initiatives.
- Partner closely with IT on office equipment, access, and the physical side of technology needs.
- Partner closely with Finance on budget planning and tracking, procurement, purchase orders and invoices, and travel-expense reconciliation.
- Partner closely with Compliance and security on audits, policies, access control, and meeting regulatory and physical-security requirements.
- Coordinate with leadership to keep the workplace aligned, compliant, and running well.
Events, Logistics & Safety
- Plan and run company events, meetings, off-sites, and team-building activities, end-to-end.
- Oversee workplace health, safety and physical security, ensuring the office meets relevant requirements.
- Manage day-to-day logistics and ad-hoc operational needs as they arise.
Requirements
- Proven experience in office management, administration, operations, or facilities — ideally in a fast-paced, growing company.
- Hands-on, can-do attitude — comfortable both owning processes and personally stepping in to solve problems; not a behind-the-desk role.
- Strong budget-management skills: planning, tracking, and cost control.
- Experience managing vendors, contracts and negotiations.
- Excellent organizational and multitasking skills; able to prioritize and stay calm under pressure.
- Strong interpersonal and communication skills; a natural cross-functional partner.
- Service-oriented mindset with high attention to detail.
- Proficiency in MS Office / Google Workspace; familiarity with an ERP (e.g., NetSuite) and management tools — an advantage.
- Fluent Hebrew and very good English.
Nice to Have
- Experience in a fintech, tech, or global/multi-site company.
- Experience scaling an office through growth.
- Background in procurement, health & safety, or compliance support.
What Success Looks Like
Within the first few months, the Head of Administration will have taken full ownership of the office and vendor ecosystem, stabilized day-to-day operations so that things "just work," and become the reliable, go-to partner that lets the rest of the company focus on their work — all while keeping the budget under control and the workplace a great place to be.
